A Long-Expected Party Registration Information

Please note that this registration form must be completed and submitted in advance for each individual attending, even if all are members of the same family.

A deposit fee of 85.00 US$ per person is required to reserve a place. This fee must be received no later than 30 days after your registration is submitted for your place to be reserved.

The remainder of the event fee, 165.00 US$ or 65.00 US$ per person, is due no later than August 31st, 2008.

You will be contacted approximately a month prior to the event regarding these special requirements.
Every effort will be made to accommodate these special needs within reason.

Transportation

Please indicate which method you plan on using to come to the party, this will help us coordinate the airport bus service.

The closest airport is the Lexington, KY Blue Grass Airport (LEX)

We will be providing transportation from the airport to the party site on Thursday September 25th.
We will also provide transportation back to the airport from the party site on Sunday September 28th.

Please email us with your flight information or travel plans at travel@alongexpectedparty.org when you have your flight confirmation so we can plan the bus trips accordingly.

Accommodations

The attendees are required to make their reservations through Ann Voris of The Shaker Village of Pleasant Hill directly at 1-800-734-5611 extension 1548 or at 1-859-734-1548 and mention that it is for A Long-Expected Party. You will not be able to reserve through the Inn at Shaker Village web site as all of the accommodations have been reserved for us. They will be assigned on a first come-first served basis. Attendees age 16 and under room for free if staying in the same room as their parents.

Should you wish to extend your stay beyond the Thursday night to Sunday morning you will be able to do so at our special rates. We strongly suggest to reserve early in that case as the rooms are blocked off for us only during the Thursday night through Sunday morning period, so room space may fill up with other guests not related to the party.

Meals

All meals from Thursday night dinner through to the Sunday morning breakfast are included in the registration fee. Of course this will be topped off with the banquet at Bilbo and Frodo's Birthday Party. This also includes all taxes and gratuities.

Method of Payment

If you wish to pay for more than one registration at a time go through the registration form as many times as necessary to register each individual, and calculate the total of the amounts shown in the box below. For the method of payment select Pay Later with Another Registration. On the last registration select the payment type and pay the total of all the registrations you have calculated.

Note that Credit Cards are only accepted though Paypal.

Notifications and Refunds

You will be notified by e-mail within 72 hours of the reception of your deposit.
This email will contain your registration number.

We suggest that you print a copy and bring it with you to speed up your on-site registration otherwise you will be asked to provide photo I. D. matching your registration information.

Our refund policy is as follows:

If you should cancel for any reason there will be no refund of your deposit fee.

If the event is cancelled for any reason you will be given a full refund up to July 31st 2008. Should the event be cancelled after this date only a partial refund will be possible subject to the costs that will have been assumed at that time.

If you decide to transfer your registration to another person that person will only be charged an additional $15.00 US$ transfer fee.

For such a transfer to be valid you must send us an email with the same information you have provided for the person you transfer the registration to.

You will also have to provide in writing at the address shown above a letter with your signature authorizing such a transfer.

Your registration is not complete until your deposit fee is received.
